President report;

Brendin did not provide a presidents report.

I would like to highlight Brendin’s work with ASNZ and particularly getting Liability and indemnity insurance for all member clubs, this will save TAC approximately $2000 per year.

Treasurer report;

As of the AGM, the club is up to date with all financial commitments and has $5,800 in bank accounts. Major recurring expenses paid are the TECT lease $1,400 and ASNZ fees $1,100. 2205 Balance sheet and last 12 months profit & Loss presented to AGM attendees. Game days and membership remain the primary source of income, hire fleet & field maintenance the primary expense. Wet weather in the winter has reduced income due to game day cancellation. Bring on the good weather.

Projects Completed

The safe zone has had major updates, with tree removal, the construction of the two bench complexes before the Christmas game, build out of the admin container, and the water collection system. Great work Hayden and team. The club also purchased a Stihl scrub cutter ($1,500) for field maintenance. We also spent over $3,000 on web site development, with a quote for a further $4,000 to develop additional functionality for game-day management. The additional work is on hold pending further investigation of pre-built solutions.

Upcoming Projects

Work in the safe zone is planned before the Christmas game. A digger will be hired to move the dirt pile and extend the flat space in the safe zone, approximate cost $2,500 The toilet project has not progressed, savings for the expected $10,000 cost are prioritised after field and equipment maintenance. We will evaluate a permanent PortaLoo with scheduled emptying as an alternative to a plumbed system.

President – Mandatory

  • First point of contact from any external contacts
  • Main liaison for TECT park, ASNZ primary representative and suppliers
  • Chair for all committee meetings and SGM’s.
  • Health and Safety documentation and implementation.

Treasurer – Mandatory

  • Annual accounts reporting via TAC Accountant.
  • Responsibility for game day cash after rental or club games.
  • Maintaining the game day cash float.

Secretary – Mandatory

  • Recording of minutes during monthly committee meetings.
  • Account signatory.
  • Maintains folder of records for all games for the year, filing the registration sheets for all social and club games.
  • RSVP updates for Webpage.
  • Responsible for maintaining active member sheets and tracking the vetting process.

Vice President – Secondary

  • Supports the President in any roles that cannot be completed where possible.
  • Supports Games Master in club member allocation for game day roles
  • Absorbs responsibilities from vacant roles below if possible

TAC Field Coordinator
– Secondary

  • Organizes working groups with the assistance of Social Media Mogul.
  • Brings and field issues to committee attention for action.
  • Communicates any field improvement ideas from club members to the committee.
  • Made aware of all games on the field, club or social.
  • Prioritization of working plans and projects
  • Reports to VP

Games Games Coordinator – Secondary

  • Rostering of game slots on the field, balancing of club and rental games.
  • Ensuring upcoming games have at least one club member allocated to run, and assisting with game ideas if needed. If more than 20 players are registered for a game, an assistant will be required.
  • Ensuring game day box is kept stocked and current (roster sheets, membership forms etc)
  • Game ideas book is started and kept up to date.
  • Planning of events, requesting funding through the committee, passing game outline to Social Media Mogul for FB event info.
  • Ensures game day props are maintained and available for games.
  • If future game ideas are presented requiring new props, draft a proposal and approach the committee for required funding. This can be done through the group chat.
  • Reports to VP

Armorer – Secondary

  • Maintenance of club rental gear, ensuring spare parts required to maintain guns and gear are brought to the committee’s attention for purchase.
  • Maintenance of club safety gear, masks goggles and mesh masks.
  • Ordering of spare parts

2025 acting president, minutes to be taken by the 2025 Secretary a handover
will take place within 2 weeks of the voting ceremony for all roles.
